
Job Title: Inventory Manager
Job Summary:
We are seeking a hands-on Inventory Manager to oversee and manage all rental and sales equipment for our growing company. This role is critical to ensuring that equipment is properly tracked, maintained, returned in good condition, and accurately billed. The ideal candidate is detail-oriented, process-driven, and comfortable improving systems in a fast-paced, small-company environment. The Inventory Manager will play a key role in modernizing operations and building scalable systems as the company grows.
Key Responsibilities:
- Inventory & Asset Management
- Manage all rental and sales inventory, including tracking location, status, and condition of equipment.
- Ensure all equipment is returned on time and in good working order.
- Inspect returned equipment for damage, missing parts, or wear and tear.
- Coordinate repairs, maintenance, and replacements as needed. Returns, Damages & Billing Support
- Log and document any damaged or missing equipment.
- Communicate discrepancies clearly to operations and finance teams for customer billing.
- Maintain accurate records to support invoicing and claims. Shipping, Packing & Documentation
- Prepare and verify packing lists and shipping manifests for all outbound and inbound equipment.
- Ensure shipments are accurate, complete, and properly documented.
- Work closely with logistics and operations teams to resolve any discrepancies.
Systems & Process Improvement:
· Transition the current spreadsheet-based inventory system into a more modern, scalable inventory management platform.
· Develop standardized procedures for tracking, audits, and reporting.
· Continuously improve inventory accuracy, visibility, and control.
Reporting & Controls:
· Perform regular inventory audits and cycle counts.
· Provide inventory reports to management (utilization, losses, damages, aging, etc.).
· Identify risks, inefficiencies, and opportunities to reduce losses and improve asset utilization.
Qualifications:
Required:
· 3+ years of experience in inventory management, asset management, warehouse operations, or logistics.
· Strong attention to detail and organizational skills.
· Experience tracking physical assets and managing returns. · Proficient in Excel or Google Sheets.
· Comfortable working in a small-company, hands-on environment.
Preferred:
· Experience implementing or migrating to an inventory management system (e.g., Fishbowl, NetSuite, Odoo, Asset Panda, Sortly, etc.).
· Background in rental equipment, industrial equipment, or technical assets.
· Basic understanding of billing, invoicing, or finance workflows.
· Familiarity with barcode or QR-based inventory systems.
